Terms of Collaboration

How projects with LUTHFRAME run — from inquiry to delivery. Clear scope, clear milestones, no surprises.

1. Overview

These terms apply to freelance post-production services provided by Luthfi Ihwan operating as LUTHFRAME® — including video editing, color grading, motion design, VFX & 3D, sound design, graphic design, and full post-production pipelines.

By confirming a project (via email, messaging app, or signed proposal), the client agrees to these terms unless otherwise agreed in writing. In case of conflict, the written project proposal takes precedence.

2. Booking & kick-off

Projects follow a structured flow:

  1. Inquiry — via the contact page or hello@luthframe.com
  2. Discovery — a short call or async brief to align on scope, references, timeline, and deliverable formats
  3. Proposal — a written quote covering services, fees, milestones, and delivery dates
  4. Deposit — project is scheduled once the deposit is received and the proposal is approved
  5. Kick-off — assets and brief are handed over; work begins
A project is considered confirmed only after the deposit is paid and the proposal is approved in writing.

3. Payment & deposits

Payment structure depends on project size, as outlined in the proposal:

  • Accepted methods: Indonesian bank transfer (BCA / Mandiri) and PayPal — as stated in the invoice
  • Invoice due: within 3 business days unless otherwise agreed
  • Currency: locked at proposal stage (USD or IDR). Mid-project currency changes are not accepted
  • Final delivery: master files are released after full payment is received
  • Late payment: if an invoice is unpaid for more than 7 calendar days, work pauses until payment is cleared
  • Deposits are non-refundable once kick-off has begun, except where LUTHFRAME cancels the project

4. Scope & deliverables

Each proposal defines exactly what is included. Unless stated otherwise, standard projects include:

  • Agreed number of deliverables (e.g. one master export in H.264/H.265)
  • 2 rounds of revisions (see Section 5)
  • Organized project files and a structured cloud delivery folder
  • Review checkpoints at key milestones

Typically not included unless quoted separately:

  • Reshoots, on-set production, or new footage capture
  • Voice-over talent, music licensing, stock asset fees
  • Subtitle translation, localization, or additional language versions
  • Extra export formats, aspect ratios, or platform-specific cuts beyond the agreed brief
  • Project archive / editable source files (available as an add-on — see Section 8)
Any request outside the agreed brief is treated as a change order and may affect both price and timeline.

5. Revisions

  • Every project includes 2 revision rounds as standard
  • One revision round = one consolidated batch of feedback, not ongoing notes spread across multiple days
  • Feedback should be submitted via the agreed review tool (e.g. Frame.io, Vimeo review, or timestamped document)
  • Revision turnaround: 2–3 business days after feedback is received, unless otherwise quoted
  • Additional revision rounds may be billed at 15–25% of the project fee per round, or at an agreed hourly rate
  • A full creative direction change (new concept, restructured narrative, additional scenes) is not a revision — it requires a new scope quote

6. Client responsibilities

To keep timelines on track, the client agrees to:

  • Provide a clear brief, references, and brand guidelines before kick-off
  • Deliver complete raw assets (footage, audio, logos, fonts) in usable formats
  • Respond to milestone reviews within 48–72 hours
  • Give written approval at each major milestone before the next phase begins
  • Secure licenses for third-party music, fonts, stock footage, or talent releases where applicable
Delays caused by incomplete assets, unclear briefs, or late feedback will shift the delivery timeline accordingly. Rush fees may apply if the original deadline must still be met.

7. Timeline & rush work

Estimated timelines are provided in the proposal. General benchmarks:

  • The timeline starts once the deposit is received, assets are complete, and the brief is finalized
  • Rush deadlines (faster than the quoted timeline) may incur a 25–50% rush fee
  • Same-week or overnight requests are accepted only when schedule allows — not guaranteed

8. Files, usage & portfolio rights

  • Upon full payment, the client receives usage rights to the final deliverables for the intended project purpose
  • Raw footage and client-provided materials remain the property of the client
  • Final exported masters are delivered as agreed in the proposal (web-ready H.264/H.265 by default; ProRes, DNxHD, or custom specs available when quoted)
  • Editable project files (Premiere Pro, After Effects, DaVinci Resolve, etc.) are not included by default. They can be provided as a paid add-on (+20–30% of project fee, or as quoted)
  • LUTHFRAME may showcase completed work in portfolio, website, and social media unless the client requests confidentiality in writing or an NDA is in place
  • AI-assisted tools may be used in workflow where appropriate. Any significant AI-generated elements will be communicated during the project

9. Cancellation & refunds

  • Before kick-off: deposit may be refunded at 50%, or in full minus a small admin fee — at LUTHFRAME's discretion
  • After kick-off: the deposit is non-refundable. The client pays for all work completed to date
  • Client cancellation after work has started does not entitle the client to partial delivery without settling the balance for work done
  • LUTHFRAME cancellation: if LUTHFRAME is unable to complete the project, any unused portion of prepaid fees will be refunded
  • No response for 14+ days during an active project may be treated as client abandonment; the project may be closed and the deposit forfeited
